This policy covers this website. It sets out what is collected when you visit, who processes it, how long it is kept, and how to reach us about it.
If you are assessing Arcona on behalf of a clinic, this is not the document you need.
Patient health information in the product is governed by a separate Information Management Agreement and a privacy package covering data flow, the field inventory, what is not stored, subprocessors and regions, audit logging, retention, break-glass access and breach notification. Request the privacy package.
Arcona Inc., a corporation incorporated in Alberta, based in Calgary. We build software that private clinics use to produce longitudinal health reports for their patients.

2.1 This policy covers arcona.ca.
2.2 It does not cover patient health information. Where a clinic uses Arcona, health information in the product is governed by the Information Management Agreement between us and that clinic, under Alberta’s Health Information Act or the equivalent statute in the clinic’s province. No health information is collected, processed or stored by this website.
2.3 This policy is governed by Alberta’s Personal Information Protection Act and by PIPEDA.
3.1 This site has no sign-up, no account and no newsletter. It has one form, described in 3.2.
3.2 The privacy-package request form at /privacy-package collects your name, work email address, clinic, and province, and optionally your role and any questions you enter. Province is collected because the agreement differs by province and determines which one is sent.
3.3 That form is processed by Formspree, a form-handling service in the United States, which forwards the submission to our email. It sets no cookies on this site. Submissions are used to respond to your request and are not used for marketing or disclosed to anyone else. They are retained while the correspondence is active and deleted afterwards.
3.4 If you email us, we hold your address and the contents of your message, retained while the correspondence is active and for our record of it.
3.5 Demo bookings are made through a scheduling service rather than a form on this site: either Calendly (privacy policy) or Google Appointment Schedules (privacy policy). Both are United States companies. Both collect your name, email address, selected time, time zone, and any notes you enter, and both set cookies on their own booking page rather than on this site. Bookings are held in our calendar and email and are not transferred to a marketing system.
3.6 Lab reports sent to us ahead of a demo should have patient names removed. Documents sent to us are used only to demonstrate parsing of your own formats, are not added to any product database, and are deleted after the call.
4.1 This site is a set of static files served by one of two hosting providers, both based in the United States: Vercel Inc. (privacy policy) or GitHub, Inc., through GitHub Pages (privacy policy).
4.2 Both retain standard server logs and nothing further: the originating IP address, the page requested, the time, and the browser user-agent string.
4.3 These logs are used to operate the site and to investigate abuse. They are not used to build profiles and are not combined with other information.
5.1 This site uses Google Analytics 4, processed by Google LLC and stored on Google’s servers outside Canada.
5.2 It records pages viewed, time on page, referring site or search, approximate location derived from your IP address, and device and browser type. Google does not retain your IP address in Analytics; it is used to derive approximate location and then discarded. Your browser transmits it to Google for that purpose.
5.3 The following are disabled on the property: Google Signals, which would associate a visit with a Google account across devices, and advertising personalisation. This data is not used for advertising.
5.4 Analytics data is retained for fourteen months, after which Google deletes it.
5.5 To opt out, install Google’s opt-out browser add-on or use a content blocker. Blocking analytics does not affect how this site functions.
6.1 Google Analytics sets two cookies: _ga and a second beginning _ga_. They hold
a randomly generated identifier so that a return visit is not counted as a new visitor. They expire after two
years. No other cookies are set by this site.
6.2 No cookie is required for this site to function. Blocking or deleting them has no effect on it.
6.3 This site does not display a cookie banner. Canadian privacy law does not require consent by banner for analytics cookies of this kind; disclosure in this policy together with the opt-out in 5.5 is what it requires.
7.1 Loading a page on this site makes requests to the host and to Google Analytics, and to nothing else. There is no tag manager, embedded video, social widget, advertising pixel, session recorder or heatmap tool.
7.2 Fonts are served from this site rather than from Google Fonts, so no request is made to Google to retrieve them.
7.3 The booking page and the form endpoint are on their providers’ own domains, and those providers’ policies apply to them. Any other link away from this site is subject to that site’s policy.

9.2 Product data, being a clinic’s patient information, is hosted in Canadian regions and is governed by the Information Management Agreement rather than by this policy. The subprocessors listed above are those of this website. The product’s subprocessors are a separate list, given with their regions in the privacy package.
10.1 Under Alberta’s Personal Information Protection Act and under PIPEDA you may request access to the personal information we hold about you, request its correction or deletion, and withdraw consent to its use.
10.2 Requests go to privacy@arcona.ca. We acknowledge within one business day and complete the request within thirty days.
10.3 Complaints may be made to the Office of the Information and Privacy Commissioner of Alberta or to the Office of the Privacy Commissioner of Canada.
11.1 This site is directed at clinicians and clinic operators. It is not directed at children and we do not knowingly collect information from them.
12.1 Where a change alters what this site collects, this page is updated before that change takes effect, and the version and effective date above are revised.
12.2 Prior versions are retained and available on request.
